JOB DESCRIPTION: Tour Coordinator

August 2022

Overall Responsibilities: Position is responsible for the administrative functions necessary for all the touring for Yvonne Montoya/Safos Dance Theatre’s Stories from Home including presenter outreach and correspondence; functioning as the liaison between Safos Dance Theatre and presenters and venues; managing and administering touring contracts; assisting with grant proposals for touring, working with the administrative team to coordinate schedules; working with managers, booking agents, and publicists to plan tours with locations, dates, and times including routing and block booking; and representing the organization at regional and national touring conferences. Flexible schedule: remote/telecommute, part-time. Position reports to Yvonne Montoya.

Seeking someone with:

  • Experience in artist management and arts administration

  • Ability to multitask and work in small teams

  • Familiarity with GSuite

Arizona residence preferred.

Areas of responsibility include:

Travel:

Logistical coordination of travel and transportation arrangements for tours; creating in depth schedules and working with the administrative team to coordinate all travel associated with touring. Possible travel to regional and national preserter conferences, including international travel.

 

Communications & PR:

Create and maintain positive ongoing working relationships with venues/presenters and other collaborators. Provide headshots and other PR material for presenters as requested. Communicate with venues, presenters, and the administrative team regarding details or changes in any event.

 

Inquiries & Contracts:

Process all touring and presenter contracts. Assist with scheduling.

 

Financial:

Create invoices; collect receipts & submit to host/presenter for reimbursement; track payments; coordinate payment to contractors and vendors; prepare budgets for potential tours; negotiate budgets with venues/presenters.

 

Office and I.T.:

Maintain presenter log; work with the artistic team to maintain up-to-date riders.

 

Scheduling:

Keep the Google calendar up-to-date in conjunction with the administrative team. Work with the administrative team to ensure accuracy of all travel plans. 

 

Terms of Employment:

 

5-10 hours/week, wage range $17-21/hr, commensurate with experience. Position will be paid monthly (end-of-month); wages calculated hourly; paid as part-time staff.
